| 7 | +developers to help them attend key community events, such as |
| 8 | +[the **Git Merge** conference](https://git-merge.com/). |

| 10 | +This document outlines the eligibility criteria, application process, |
| 11 | +and reimbursement guidelines. |

| 13 | +## 1. Software Freedom Conservancy Policy |
| 14 | + |
| 15 | +First please read the |
| 16 | +[Software Freedom Conservancy Travel and Reimbursable Expense Policy](https://sfconservancy.org/projects/policies/conservancy-travel-policy.html). |

| 18 | +As the Git project is part of the Conservancy, |
| 19 | +**you must follow this policy when requesting any reimbursement**. |
| 20 | + |
| 21 | +If you agree with this policy, you are welcome to proceed with the |
| 22 | +next steps. |

| 24 | +**Note:** In case the Conservancy's official Policy differs from what |
| 25 | +the guidelines listed on this page, please defer to the Conservancy's |
| 26 | +Policy and let the Git PLC know. |

| 28 | +# 2. Estimate Costs & Email the Git PLC |
| 29 | + |
| 30 | +Please send an email to |
| 31 | +[the Git PLC (Project Leadership Committee)](mailto:git@sfconservancy.org) |
| 32 | +with a cost estimate in **USD** for your travel to the conference. |
| 33 | + |
| 34 | +In your estimate you might take into account the fact that the flight |
| 35 | +and hotel costs might increase a bit between now and the conference |
| 36 | +date, but please base it on facts by checking current prices. |
| 37 | + |
| 38 | +Please only include items that the Policy allows us to reimburse (see |
| 39 | +the Conservancy's Policy above) and within the specified limits. |
| 40 | + |
| 41 | +Many conferences like the Git Merge provide meals like lunch, |
| 42 | +breakfast and sometimes dinner. It's nice if you can take this into |
| 43 | +account in your estimate. |
| 44 | + |
| 45 | +Make sure to mention the total cost for a visa if you need one, and |
| 46 | +the total cost for everything (including visa costs). |
| 47 | + |
| 48 | +# 3. Apply for a visa |
| 49 | + |
| 50 | +If we don't reject your estimate and if you need a visa, |
| 51 | +**please start to apply for a visa as soon as possible**. |
| 52 | +It can take a lot of time. |
| 53 | + |
| 54 | +And then let us know when you get a visa or if your visa request is |
| 55 | +rejected. Also please let us know if you can get an estimate of when |
| 56 | +you will know if your visa request is accepted or rejected, or in the |
| 57 | +case you cannot get a visa in time which unfortunately happens quite |
| 58 | +often. |

| 60 | +The more we know about your visa process, the better we can help you |
| 61 | +and others. For example if you get an appointment, let us know the |
| 62 | +date and the documents that could help you get a visa then. |

| 64 | +# 4. Visa Fees Reimbursement |
| 65 | + |
| 66 | +Don't wait for your sponsorship request to be fully approved to apply |
| 67 | +for a visa if you need one. If you follow these requirements: |
| 68 | + |
| 69 | +- You follow the Conservancy's Policy and really need a visa to travel |
| 70 | + to the conference. |
| 71 | +- You are a legitimate beneficiary (someone who actually contributed |
| 72 | + to Git). |
| 73 | +- You ask for travel reimbursement with a reasonable total estimate at |
| 74 | + a proper time for a strongly Git related conference, like Git Merge. |
| 75 | +- The visa fees you estimate are less than $500 USD and seem |
| 76 | + justified. |

| 78 | +we will reimburse your visa fees even if you don't get a visa. We |
| 79 | +encourage you to apply for a visa soon because unfortunately not |
| 80 | +getting a visa is the most likely thing that might prevent you from |
| 81 | +attending. |

| 83 | +# 5. Request approval timeline |
| 84 | + |
| 85 | +We cannot fully approve most requests right away, because there is a |
| 86 | +risk, even if that never happened in the past, that we get too many |
| 87 | +valid requests that we cannot all satisfy. |

| 89 | +When a Git related conference is announced, we prefer to leave some |
| 90 | +time for people to apply, and then, after that time passed, decide for |
| 91 | +all those who applied during that time. |
| 92 | + |
| 93 | +This shouldn't prevent you from applying for a visa soon (see the |
| 94 | +above section). |
| 95 | + |
| 96 | +This means that we usually accept late applications. If you decide |
| 97 | +late that you would like to go and need financial assistance, please |
| 98 | +apply even if it's late. Don't apply though if it's too late and you |
| 99 | +cannot for example get a visa in time. |

| 101 | +When we approve your request, you will receive an email from us saying |
| 102 | +it's approved. Don't start booking anything that is not visa related, |
| 103 | +especially not flights, before you receive that email. |
| 104 | + |
| 105 | +# 6. Visa Documentation Support |
| 106 | + |
| 107 | +When your request has been fully approved, the Conservancy will be |
| 108 | +able to provide official **Sponsorship Letter**. This is a letter |
| 109 | +saying that we approved to reimburse your travel costs for up to a |
| 110 | +certain amount. It might help you with your visa process. |
| 111 | + |
| 112 | +The Git PLC itself cannot provide an invitation letter to the |
| 113 | +conference though, as it is not organizing the conference even if |
| 114 | +individual PLC members may participate in these activities through |
| 115 | +their affiliations with other organizations. |
| 116 | + |
| 117 | +Please don't ask the PLC for things related to the conference, like an |
| 118 | +invitation letter, how to submit a talk, how to get a free ticket to |
| 119 | +the conference, etc. Instead, please first take a look at the |
| 120 | +conference website and if you don't find the information there, find |
| 121 | +the organizers (they usually announce the conference on the mailing |
| 122 | +list) and email them directly (without us in Cc). |

| 124 | +# 7. Visa and Request Approvals |
| 125 | + |
| 126 | +When we approve your request and you need a visa, we will usually say |
| 127 | +that: |

| 129 | +- we approve to reimburse you for the visa fees up to a certain |
| 130 | + amount, and |
| 131 | + |
| 132 | +- if you can get a visa, we approve to reimburse you for the whole |
| 133 | + travel up to a certain amount. |

| 135 | +This is because we don't want as much as possible to waste flight and |
| 136 | +hotel booking money when people don't get a visa, which unfortunately |
| 137 | +happens quite often these days. |

| 139 | +In some cases already having flight tickets and hotel bookings could |
| 140 | +help you with the visa process. In these cases, please email us and |
| 141 | +convince us that chances are high that you will get a visa if you can |
| 142 | +book the flight tickets in advance (before you get a visa). Also try |
| 143 | +to find flights tickets and hotel bookings that are at least partially |
| 144 | +reimbursible, so that everything is not lost in case you cannot get a |
| 145 | +visa. |

| 147 | +It's your responsibility to find and provide us with documents, |
| 148 | +estimates and good arguments to convince us that you have a good |
| 149 | +chance of getting a visa if you can book in advance. |

| 151 | +# 8. Booking Guidelines |
| 152 | + |
| 153 | +Please take another look at the Conservancy's Policy just before or |
| 154 | +while booking. |

| 156 | +Note especially the documentation requirements, including a record of |
| 157 | +your flight search cost. |

| 159 | +Note that you're free to stay extra days at your own expense, as long |
| 160 | +as the flight cost is comparable. |

| 162 | +We reimburse only the expenses occuring during the time when the |
| 163 | +conference happens, or maybe a bit before and after it if all the |
| 164 | +reasonnable travel options force you to stay later or arrive earlier. |

| 166 | +Also please take another look at the hotel rates policy, since some of |
| 167 | +the options near the conference venue might be on the expensive side. |

| 169 | +# 9. GSoC Mentor Summit |
| 170 | + |
| 171 | +If you mentor someone working on Git for the Google Summer of Code, |
| 172 | +you might apply and be selected by the Git mentors and org admins to |
| 173 | +be a Git delegate at the GSoC Mentor Summit organized by Google. |
| 174 | + |
| 175 | +Usually only one primary delegate is automatically accepted by |
| 176 | +Google. One or more secondary delegates might be accepted by going |
| 177 | +through a waitlist. |

| 179 | +If you are selected to be a Git delegate and accepted by Google, the |
| 180 | +Git PLC will reimburse your travel in a similar way as for Git |
| 181 | +developers going to a conference. |

| 183 | +The difference is that Google is usually providing a significant |
| 184 | +amount of money to the Git project for the primary delegate and a |
| 185 | +smaller amount for the secondary delegate. If you are among them and |
| 186 | +your travel cost would be less than the corresponding amount provided |
| 187 | +by Google, you can consider that the Git project will reimburse your |
| 188 | +travel costs. In other words, you don't need to send a request to the |
| 189 | +Git PLC. |

| 191 | +Please consider the following though: |

| 193 | +- Google usually provide food and lodging free of charges during the |
| 194 | + whole Mentor Summit, so in most cases you shouldn't need to ask for |
| 195 | + such reimbursements. You should mostly ask for your flight (or maybe |
| 196 | + car, bus or train) costs to be reimbursed. |
| 197 | + |
| 198 | +- Contact us and the Git GSoC org admins as soon as possible before |
| 199 | + booking flights if you are not sure you will get a visa in time, or |
| 200 | + if you are not sure to go to the Mentor Summit for other |
| 201 | + reasons. Note that Google provides us money for your travel only if |
| 202 | + you actually go to the Mentor Summit, and we might be able to send |
| 203 | + someone else at the last moment. |

| 205 | +- If you are not sure that your travel costs will be less than what |
| 206 | + Google provides us, please send us a regular request as soon as |
| 207 | + possible. |

| 209 | +# 10. Submitting for Actual Reimbursement |

| 211 | +When you want to get reimbursed, please take another look at the |
| 212 | +Conservancy's Policy for the exact submission steps. It usually |
| 213 | +requires you to send an email |
| 214 | +**directly to a Conservancy email address**, not to |
| 215 | +the Git PLC, though it's fine if you put the Git PLC in Cc. |
